About This Release

We are pleased to announce the official release of Practice Perfect EMR + Management Software Version 2.0.0.493. Please review the attached list of new features & benefits carefully.

New Incidents and Goals:

When a new incident is created using the copy/paste function, the incident's Goals will also be copied.

The Waiting List will now also show which user added the client to the list.

Find Clients by Email:

A new way to find the clients has been added under Actions and is entitled Find Client by Email. If selected, clients will be located using both Home and Work email addresses.

This summary panel will now also include the client's First Visit Date.

Reminders:

If a user logged-out of Practice Perfect, without exiting, and logged back in, any Reminders that should have popped-up in their absence did not pop-up. This has been corrected.

Security and Zones:

When adding security to a user or role, you can now select to copy this security setting not just to all locations, but also to Copy to Locations within this Zone which will only copy the settings to clinics that are part of the same zone.

Statements:

There was an issue introduced in a recent release in which client statements could only be printed from the Client Listing and not from within the client's activity screens or demographics, the statements would only print for the payor portion. This has been corrected.

A new option has been added to the Client Statements entitled Only show client-related charges. If selected, charges that only involved a payor with no client-portion will not be included on the statements.

When Statements were emailed, the Contact Log was not being updated, if requested. This has been corrected.

The exported version of this report will now also include the Guardian First NameLast Name and Relationship as well as any client Allergies.

Two new options have been added to this report to Show client notes and Show email addresses for each client listed.

Duration for each service has been added to the exported version of this report.

A bug existed in which the sub-total per client was being calculated incorrectly if the By Date of Entry report option was selected and negative charges existed on the client's account. This has been corrected.

Treatment Statistics report:

A new summary is included at the end of the report that summarizes the average number of treatment visits per client into buckets - eg; how many clients were discharged after 1 visit, 2 visits, 3-5 visits, 6-10 visits or more than 11 visits.

Faxing:

Several modifications have been made to the new direct faxing capabilities, as follows:

1) Fax compression has been enhanced meaning it will take less time to submit a fax for transmission

2) A longer Email Address can now be entered into the Fax Settings panel.

3) The relevant Payor Adjusters will now display correctly when preparing the cover page for faxes.

Daily Progress Notes:

The warning that Goals have not been completed, if activated, will now appear when both Complete and Signed and Completed and Unsigned statuses are selected.

The loading speed of the Activities by Progress note screen has been greatly enhanced.

A new field entitled Client: # of visits has been added as a field type and reports the number of client visits as of the date of the creation of the report.

The footer/signature section of the customizable documents will now appear exactly the same as the Daily Progress Notes, showing the date/time of the signature, if required.

The Location field length has been increased in the Services section of the printed Daily Progress Note.

Web Version

Web version: Notes, Reminders and Deleted items:

  • Reminders have now been added as a function in the left-hand side control panel of the Practice Perfect web version.
  • Client and Contact Notes on the top of the screen can now also be added and edited.
  • Deleted items, the Wastebasket function, has also been added to the left-hand side control panel of the web version to mimic the desktop version of Practice Perfect.

Landing Page / Email info:

The clinic's/organization's main contact Email address has been added to the landing page for the client portal.

Client Self-Booking:

  • The verbiage that the client receives if a client's appointment request is rejected may now be setup under Settings, Customize Email Appointment/Invoice Notification in the Footer for declined appointments section.
  • A bug existed that if a provider was marked as Temporarily Unavailable at one location that they could not be booked by the client at any location - this has been corrected.
  • Notes entered by the client when self-booking will now also be displayed on the Web Appointment Listing screen.

Client Self-Booking Reminders:

The users who receive the reminder pertaining to 'client self-booked appointments requiring attention' can now be setup under Housekeeping, Security, Roles and Users, in the Functions tab by either selecting or de-selecting the Allow to recieve client-booked appointment reminder option. If selected, that user/role will receive the reminders. If not selected, they will not receive the reminders.

US Billing Specific

EDI837 Submissions:

When a charge is less than $1.00, the leading 0 will now be omitted from the transmission as per the published standard.

Canadian Billing Specific

HCAI OCF18:

  • There have been some wording changes on the entry of OCF-18s in the section having to do with Other Insurer estimate amounts, to match the wording on the actual OCF-18 form.
  • The default values for the Minus Other Insurer 1 and Minus Other Insurer 2 amounts have been set to $0.00 instead of being blank.

Telus submissions:

Full amounts of the claim will now be sent to Telus and not the amounts less what another payor or the client may have already paid.

The Telus Electronic Submission and Telus Benefit Assignment forms will now show the correct Plan Number and Plan Member Number for the currently selected Billing Rule. If a client Billing Rule is selected, information from the first payor Billing Rule will be used instead.

When processing payments from the Ministry of Health, the Invoice # has been added as a second-level of matching verification to help ensure that the wrong services are not paid incorrectly.
